Contexte et environnement

The TotalEnergies American Services, Inc. (“TEAS”) is a support organization that provides various support to multiple TotalEnergies entities in the Americas. The Talent Acquisition & University Relations team specifically provides external recruitment services. This position provides the opportunity to wear many hats and get exposure to many different activities and departments within the TotalEnergies organization in the US. This role is perfect for someone who is respectful yet bold in their communication style. The team is looking for someone who is innovative and can identify areas that need improving and drive the changes needed. Someone who can come in and seize the opportunity to take ownership of their position is desired.

Activités

The Talent Acquisition & University Relations Coordinator will be responsible for: 

  • Providing overall recruitment administration support for the TA recruiting team. 
  • Scheduling on/off-site meetings and managing the recruiters' calendar. 
  • Partnering with the recruiters to understand priorities. 
  • Coordinate recruiting requests while maintaining efficient communication between candidates, recruiters, HR Business Partners, and other relevant stakeholders. 
  • Coordinating the scheduling process for a high volume of interviews with candidates, hiring managers, and interview teams. 
  • Communicating interview details to candidate, making certain they have all of the information necessary to be prepared for their interview (interview schedule, job description, detailed directions, advice on apparel, information about the logistics of the interviews).
  • Acting as first and primary point of contact on day-of-interview for both the candidate and Hiring Managers, professionally handing all scheduling changes and any other glitches that may occur. 
  • Managing candidate data and process progression by updating the applicant tracking system (ATS). 
  • Managing and tracking all incoming new hire paperwork to ensure the completion of all pre-hire due diligence to continue the pre-employment processes.
  • Ensuring proper handover of new hire documentation & details to appropriate HRBP to support the setup of new employees. 
  • Supporting with ad-hoc reporting as directed. 
  • Monthly close out of records in recruiting systems and SharePoint – maintain data integrity to ensure accurate data tracking and reporting (i.e. ensuring all applicants have a final disposition & all interviewed candidate dispositions and dates are captured appropriately.).
  • Providing general assistance in planning & preparation of career fairs. 
  • Participation in any projects handled by the Talent Acquisition team such as process improvement, employer branding etc. 
  • Assisting recruitment team with roll-out (training & implementation) for new tools. 
  • Conducting employment related research and assisting recruitment team with methods of sourcing of qualified candidates.

Profil du candidat

  • Associate Degree in a related field, will consider the equivalent experience and other education. 
  • 3 plus years of related work experience in recruitment, HR, or customer service function. 
  • Previous experience supporting multiple team members in an administration capacity. 
  • Proven ability to work effectively in a fast-paced environment coupled with a strong sense of urgency and ability to prioritize. 
  • Organized with high-level attention to detail, accuracy, and follow-up while managing sensitive information. 
  • Strong problem-solving and decision-making skills; knows when to escalate issues. 
  • Comfortable working in a team environment but also able to operate independently. 
  • High level of interpersonal skills with the ability to communicate (verbally & in writing) with all levels of personnel, as well as external suppliers. 
  • MS Office Suite proficiency (Word, Excel, PowerPoint).


Preferred Qualifications 

  • At least 1-3 years experience applying HR fundamental concepts, practices and procedures 
  • Knowledge of Global Data Privacy Regulations (GDPR). 
  • Experience using Avature (ATS / CRM) is strongly desired.
