Context & Environment

This role provides administrative assistance and operational support to all Departments in the Operations Division and HSE Division in the following context:

  • Undeveloped industry infrastructure in country (e.g. local content, shorebase, regulations), with no Deepwater experience nor regulation and high expectations from a potential Oil and Gas development.
  • TotalEnergies being the leader in the industry setting up in Suriname as an Operator.
  • Offshore surveys (Geotechnical, Geophysical, Seismic, Environmental etc.) are planned in 2024.
  • Multi-blocks Services and Rigs CFT’s in 2024
  • Restart of Exploration Drilling Operations as from 2025 on multi-blocks.
  • B58 Development Project as from 2026 to meet FO 2028 target.
  • Shore base settlement in country with maritime access constraints
  • Fast track and changing process, high planning uncertainties.

Activiteiten

Executive Assistant duties:

  • Acting as point of coordination in the office and for Operations and HSE Division within the Affiliate.
  • Managing Operations personnel planning including the crew/ equipment mobilization to and from the Operational Sites.
  • Managing mission orders, travel arrangements (flights tickets, hotel booking, taxi’s, etc.) and proactively assisting with any required changes including the setup of interim and appointment memo’s for TEPSR Staff and contracted personnel.
  • Managing the land transportation to and from the international airport and within Paramaribo city.
  • Managing expense claims of Operations and HSE staff and act as focal point within the Operations Division and HSE Division for the HR & Administration Department regarding expense claims.
  • Upon request managing VP Operations and VP HSE agenda, booking meetings and organizing the logistics.
  • Managing the e-mail distribution lists of the affiliate.
  • Make the interface for OPS Division and HSE Division CMS related matters.
  • Act as a backup for POB composition of the OPS Division and HSE Division and status updates. Assists HSE in updating POB application for staff, visitors, and expat families.
  • Perform duty of Operations division and HSE division Information Management Administrator – IMA and back-up for the Information Management Officer – IMO as part of the Emergency Response Team.
  • Act as Log Keeper in the course of the Emergency Response Team.
  • Preparing and editing Word documents and PowerPoint presentations.
  • Assist in the organization of corporate events for the Division and Affiliate, dinners and organize the logistics.
  • Exposed to Public Relations duties.
  • In SAP Unisol ERP:
    • As Requestor for the Operations Division and HSE Division
      • Create Purchase Requisition type RV for Contract creation and type NB for Purchase Order/Call-Off Order creation by C&P Department, in compliance with affiliate’s Business Rules.
      • Create Reservation for Stock Goods Issue by Logistics Department in compliance with operational requests from operated Blocks.
    • As Decentralized Buyer for the Operations Division and HSE Division
      • Create Decentralized Call-Off Order type ZCC for Service or Generic without reference to a Purchase Requisition for the Department when the Department is the Budget Owner and the Budget Spender (BO=BS) and in compliance with Procurement Business Rules.
      • Create Decentralized Call-Off Order type ZCC for Service or Generic with reference to a Purchase Requisition for the Operations Departments when the Department is the Budget Spender and not the Budget Owner (BO#BS) and in compliance with Procurement Business Rules.
    • Reporting
      • Use SAP Unisol Standard Reports (List Display) for follow-up of the Purchase Requisition and Purchase Order/Call-Off Order of the Operations Division Departments and HSE Division.

Profiel kandidaat

  • 5-10 years’ experience as Executive Assistant.
  • Autonomy and capacity for personal initiative. Reliability, efficiency, and a professional demeanor are important.
  • Professionalism with an ability to work effectively with senior management and work collaboratively.
  • Attention to detail and precision.
  • Excellent written and verbal communications skills in English and Dutch.
  • Clear understanding of and adherence to TotalEnergies policies.
  • Expertise with Microsoft Office software.

The role assumes primary responsibility on a variety of administrative and organizational tasks and the support of the Operations Division and HSE Division in a personalized, well-organized and proactive manner. Given the sensitive nature of the subjects matter dealt with within concerned Divisions, confidentiality and discretion are critical job attributes.

  • Follow-up and execute all administrative tasks for the Operations Division and HSE Division.
  • Requestor, Decentralized Buyer and Reporting in SAP Unisol for Operations Division and HSE Division.
  • Acting as the focal coordinating point among Operations and HSE employees, clients and other external partners and visitors.
  • Assist in the Organization of corporate events for the Operations and HSE Divisions and Affiliate / duties in Public Relations domain.
  • In addition, in case of need, replacing Executive Assistant of the other Divisions.
