Join Our Team as an Administrative Specialist Contractor at TotalEnergies Renewables USA, LLC!

Are you ready to make a difference in the renewable energy sector? Join us at TotalEnergies Renewables USA, LLC as an Administrative Specialist, based in our vibrant Austin, Texas office. We’re on a mission to power the future with clean energy, and we need passionate experts like you to help us achieve our goals. Key Responsibilities include:

  • Salesforce Administration: Oversee user management, system configuration, data maintenance, and report generation to ensure seamless operations.
  • Process Improvement: Develop and implement Salesforce maintenance processes and documentation, continuously refining procedures to align with evolving system features and team objectives.
  • Internal Expertise: Become a key resource for team members by mastering internal processes and workflows related to Salesforce. Lead formal training sessions and provide ongoing support to ensure effective platform use and adherence to best practices.
  • Cross-Functional Collaboration: Work closely with cross-functional teams to integrate tools into daily operations. Provide training and guidance to ensure alignment with organizational goals.
  • Quality Assurance: Perform QA/QC to maintain data accuracy and consistency across the project portfolio.
  • Integration Support: Assist in integrating Salesforce with other software, tools, and applications to enhance overall functionality.
  • Project Scheduling: Support Project Developers by prioritizing tasks, setting deadlines, managing deliverables, and monitoring critical paths throughout the project lifecycle.
  • Dashboard and Data Solutions: Provide technical support to create dashboards and other data/process solutions that inform Project Developers about task priorities, schedule and budget risks, and key deadlines.
  • Financial Support: Assist in preparing budgets, forecasts, reporting, and analysis. Prepare routine reports for management and headquarters.
  • Department Coordination: Enhance coordination between Development and Execution Departments by preparing requested project information promptly, coordinating responses with development staff, and ensuring QA/QC documentation.
  • Consultant Engagement: Drive the contracting and due diligence process when engaging new consultants to support project development activities.

Perfil del candidato

Qualifications:

  • Education/Experience: Bachelor’s Degree, experience in renewable energy, real estate, GIS, development, construction or business consulting a plus.
  • Skills:
    • Proven expertise in Salesforce data management, system configuration, reporting and analytics. Ability to build and manage workflows, validation rules, and process automation. 
    • Proficient in Microsoft Excel, Word, and PowerPoint, with expertise in data manipulation, advanced formulas, pivot tables, and visualizations (VBA a plus). Experience with PowerBI, Microsoft Business Central, and Microsoft Dynamics 365, a plus.
    • Working knowledge of the principles of project management, including critical path and other schedule risk/opportunity analysis techniques.
    • Detailed and process oriented with a self-driven demeanor, enthusiastic & proficient in process improvement and problem-solving.
    • Superior communication, training, and presentation skills, both written and verbal.
    • Outstanding interpersonal skills, capable of leading efficiently and outperforming assigned objectives.
    • Excellent organizational skills demonstrated by clear and effective project plans and executive level reporting that ensure timely action and decision making in time-pressured scenarios.
