TotalEnergies EP Malaysia is looking for a highly organized and detail-oriented HR Training Administrator to join our HR team. This is an excellent entry-level opportunity for someone looking to build a career in HR, with exposure to training coordination, HR operations, and employee lifecycle processes.

Activities

Your Impact

As a HR Training Administrator, you will:

  • Maintaining employee records, supporting recruitment (e.g. interview coordination, evaluation tracking), onboarding and offboarding (e.g. exit interviews), handling HR queries, and preparing reports and workforce data (e.g. diversity statistics) 
  • Managing end-to-end training logistics (e.g. invitations, attendance tracking, vendor liaison, post-training evaluations), maintaining training matrices and dashboards (e.g. ITP, mandatory compliance, spend tracking), and supporting training catalogues (e.g. LiZZY system) 
  • Ensuring training eligibility, coordinating with vendors, and managing claims processes (e.g. T Forms, eTRiS/eCLAIM submissions, reimbursement tracking and reconciliation) 
  • Supporting audits, preparing documentation, ensuring data accuracy, confidentiality, and adherence to HR policies and internal controls 
  • Coordinating HR events and campaigns (e.g. Learning Days, Career Week), supporting leave management monitoring, and contributing to initiatives (e.g. training digitalization, onboarding redesign, competency mapping tools)

Candidate Profile

What We Are Looking For 

To succeed in this role, you will need:

  • Up to 1-2 years of experience in HR, training coordination or admin roles
  • Strong attention to detail and high level of accuracy
  • Good organizational and time management skills
  • Ability to work independently and follow structured processes
  • Strong communication skills (written and verbal)
  • Professional discretion and ability to handle confidential information
  • Service-oriented mindset with a proactive attitude
