Activities

Human Resources 

  • Send informational updates to all employees regarding policy changes, office closures, company initiatives
  • Update employee Job Descriptions for new hires and mobilities
  • Keep track and update HR/Corporate policies and procedures as needed
  • Ensure employee Job Descriptions stay up-to-date and accurate
  • New hire onboarding; create onboarding schedules, send new hire information to respective employees, add profile to Frontline, check that all new hire files have been received and uploaded
  • Employee departures; send employee information to respective employees, delete Frontline profile, send organizational email to all employees
  • Monitor employee service milestones to support awards and recognition efforts
  • Maintain and track invoices for HR and General Services via Esker
  • Support/backup HR Advisor with international administrative tasks
  • Support/backup HR Advisor with payroll administration

Internal Communications  

  • Oversee employee-run social clubs and budgets, “Trading Houston Sports and Social Club”; plan and execute quarterly events for all employees 
  • Plan monthly employee birthday celebrations 
  • Assist in creating TV content 
  • Manage Matching Educational Grants and scholarships 
  • Responsible for the coordination of Company events (annual holiday parties, team building activities, management offsite, family events), including planning, logistics, vendor relationships and budget management 
  • Plan quarterly New Hire Meet and Greet; allowing new hires to meet CEOs, managers, and other new hires in an informal setting 
  • Oversee and update Houston intranet (DWP)


Accountabilities:

  • Plan company events to actively promote employee engagement; 
  • Confidential management of sensitive employee information;
  • Provide administrative support across the employee lifecycle, ensuring accuracy, compliance, and timely execution of HR activities;
  • Identify ways to enhance communication and HR processes, tools, and programs.

Job Dimension:

  • Provides variety of HR administrative support to a workforce of 250-300
  • Affiliate liaison for internal communication needs with a budget of upwards of $100,000 for internal events and campaigns, covering approximately 300 staff.
  • Daily interaction with multiple external contacts, including headquarters, TEAS and other US affiliates, TOTSA and external service providers.

Candidate Profile

  • Undergraduate degree with minimum 2 years HR/Communications experience
  • Excellent written and oral communication skills
  • Strong organizational and budget management skills
  • Capacity to take initiatives, work proactively, and with minimal direction
  • Ability to juggle multiple and tight deadlines, and flexible to changing priorities
  • Proficiency in graphic software products and website management
  • Strong “Human” focus with excellent customer service
