Are you looking to join a fast paced international trading environment? As part of the Trading Operations and Logistics department, the Trading Operations Technical and Services (OTS) division is looking for a motivated Shipping Documents Specialist to join its global team.

TotalEnergies operates a global trading ecosystem covering the full spectrum of commodities essential to the Company’s multi‑energy strategy: crude oil and refined products including biofuels, natural gas, LNG, and power. 

Our trading activities, span physical and paper markets worldwide supported by multidisciplinary teams based in Geneva, Paris, Houston, Dubai, Singapore and Athens.  

Our brand-new Athens affiliate is becoming a strategic Competence Center, designed to reinforce our operational capabilities across these commodities.

As a Shipping Documents Specialist, you will play a key role in the integrity and fluidity of our physical trading operations. You will ensure that every original shipping document — especially Bills of Lading — is compliant, accurate, traceable, and delivered on time to our counterparties and banking partners.
Your work will directly support deal execution, risk mitigation, and operational excellence.


Activities

Ensure accuracy of incoming shipping documents

  • Review original Bills of Lading and all shipping/customs documents received from sellers.
  • Verify full compliance with contracts, documentary instructions, and Letters of Credit (when applicable).
  • Request amendments in case of discrepancies and proactively follow up on missing documentation.
  • Support operators with country specific documentary requirements (Nigeria, Algeria,Turkey, USA, Egypt, etc.).


Manage outgoing original documentation

  • Prepare complete and compliant documentary remittances based on contract terms, buyer instructions, Letters of Credit(L/C), and Letters of Indemnity.
  • Liaise with internal and external stakeholders to clarify any unclear or missing information.
  • Work hand in hand with the Credit Department on L/C presentations.


Maintain robust archiving and traceability

  • Archive maritime files kept by the Trading & Shipping Department.
  • Retrieve and track files requested by internal teams.
  • Record incoming courrier and distribute documents to relevant departments.
  • Scan, file, and organize key trading documentation when required.


You will evolve in a dynamic and multicultural trading ecosystem, interacting daily with:

  • Internally: Trading Operators, Credit, Legal, Shipping, Contracts, Group affiliates.
  • Externally: Sellers, buyers, terminals, insurers, documentary agents, banks, shipping agents, customs agents, inspectors, and more.


Candidate Profile

  • Bachelor’s degree or 2–4 years of professional experience.
  • You have a strong command of English(spoken and written).French is a plus.
  • You are recognized as highly organized, detail oriented, proactive, and able to manage shifting priorities with agility.
  • You show excellent communication skills and have a collaborative mindset.
  • You have a good understanding of INCOTERMS and solid command of Microsoft Office.
  • You are comfortable with digital tools and IT systems.
