Activities

Distributor Market

  • Receive the orders, PFI confirmation, coordinate with the logistics on the deliveries. 
  • Plan, organize & coordinate export shipments for the assigned destinations/territories for timely loading & shipments
  • Coordinate with internal departments e.g. Logistics, Accounts, Technical, and Marketing departments for customers' requirements for each order as per the shipping and customer requirement.
  • Prepare shipping documents within or outside Letters of Credit — to the designated customers as per the country requirements.
  • Operate Letters of Credit received from customers
  • Liaise with banks, shipping agents, inspectors, and other 3rd party agents — Especially for destinations that require inspection, coordinate with the designated inspection company e.g. SGS as per the country requirement.
  • Communicate/ Respond to customer inquiries/messages received by telephone, or email daily
  • Arrange to get all the documents attested legalized and send for every shipment as per the destination/ country requirement.
  • Housekeeping of the old orders in the system.
  • Collecting VAT supporting documents. Maintaining a record of those received and all the list that has not been received.
  • To send KPI and forecast to Distributors on monthly basis.
  • Maintain current updated procedures for each customer.
  • SALES DATA – generate all relevant reports pertaining to sales orders, deliveries and pending orders.
  • Maintaining Non-Blendable order pending orders list.

 

Aviation:

  • Process Air Total daily uplifts in Avidial and regularize the orders in SAP

ACCOUNTABILITIES

  • Handle face-to-face enquiries from customers. 
  • Ensure that the company satisfies its customers' needs. 
  • Building a good relationship with customers through effective communication.
  • Ensure adherence to compliance processes and guidelines specific to the position's roles and responsibilities.
  • Ensure shipments and requirements of customers are met & complied with to achieve sales volume targets.
  • Strict adherence and compliance towards Group HSSEQ Charter & MAESTRO requirement and affiliate’s HSSEQ Policy, Procedures & specific rules & regulations applicable to the area of activity at all times.
  • Demonstrates exemplary conduct, rigor, vigilance, and professionalism regarding HSSEQ in all their activities
  • Ensure full adherence to the company’s compliance program, its policies and procedures including economic sanctions and export control in all professional activities.
  • Promptly notify the compliance officer/economic sanctions referent of any instances of noncompliance or violations of economic sanctions or export control that comes to my attention.

Candidate Profile

Knowledge:

  • Commercial knowledge in handling Letters of Credits and export documentation is an added advantage
  • Experienced in data applications : SAP Knowledge – an added advantage
  • Any project that reflects certain know-how on the role would be an added advantage.

 

Skills:

  • Strong computer skills (Word, Excel, Outlook, PowerPoint)
  • Strong interpersonal and communication skills
  • Proficiency in English or other languages is an add-on
  • Creative, self-motivated, organized, ability to plan and independently carrying out the job
  • Results Oriented

 

Experience:

  • Minimum one year within Customer Service or within a similar industry

 

Education:

  • Graduate in Economics/Accounting/Mathematics/Statistics or a quantitative business science preferred. 

Master’s degree in supply chain management is a plus.
