Activities

The Customer Service & Logistics Representative is responsible for coordinating delivered and customer pick up orders from beginning to end (order entry to invoicing) via rail, tank truck, iso, barge, and vessel. The role is responsible for order process administration, logistics, invoice control, vendor cost and invoice management/accruals.

Key Responsibilities:

  • Customer on boarding: SAP contract set up and price updates, rail set up, Operation and HSE loading and offloading checkup.
  • Responsible for domestic and/or export orders.
  • Order management:
    • Approve/enter orders in TotalConnect2 (TC2) (verify we have product in stock to complete the customer’s request, credit approval, Derogation).
    • Send out loading instructions to the customer and terminals.
    • Perform all SAP functions.
    • Sales invoice controls/verify prices for the monthly sales match price sheets.
    • For exports: communication of the proper documentation in a timely manner.
  • Scheduling: allocate each mode of transportation to each order respecting product compatibility and optimizing the time of usage of each unit.
  • Health, Safety, and Environment (HSE): In case of incident work with Polymers HSE, management and commercial contact until closure of the incident is complete.
  • Payables:
    • Correct pricing/quantities on invoices and have re bills sent out to customers.
    • Issue any debit/credit as needed to customers.
  • Month end.
  • Reconcile sales TC2 to SAP and Accrual of invoice services not processed.
  • Reconcile distribution center with 3rd party statement, financial system (SAP) and operations system (TC2).
  • Backup for export desk and/or domestic desk.

Candidate Profile

Education/Experience:

  • Bachelor's degree with experience in logistics / scheduling (rail car, trucking, Department of Transportation (DOT) regulations, product shipping to and from locations, etc. preferred.
  • In lieu of degree, minimum 3 years of logistics/scheduling experience is strongly preferred (rail car, trucking, DOT regulations, product shipping to and from locations, etc)

Certifications:

  • DOT hazardous materials certification preferred in accordance with 49 CFR 172 Part H. Training provided in lieu of certification prior to employment.

Skills:

  • Microsoft Office (high skill level with Excel), SAP experience strongly preferred.
  • Import and export regulations, understanding of INCO-terms preferred.
  • Exposure to refined product trading terminology, hedging basics preferred.
  • Excellent verbal and written communication skills; knowledge of foreign languages (e.g., Spanish, French) is a plus.
  • Strong customer service orientation with a demonstrated customer-focused mindset.
  • Team player with the ability to build and maintain effective working relationships.
