TotalEnergies EP Malaysia is looking for a dependable and detail-oriented Secretary / Admin Assistant to support our Drilling & Wells Department. This is an excellent opportunity for someone who thrives in a fast-paced environment and enjoys working with diverse stakeholders across teams and locations.

Your Impact

As the Secretary / Admin Assistant, you will play a central role in ensuring the smooth day-to-day operations of the Drilling & Wells team. In this role, you will:

  • Provide full administrative and secretarial support to the Head of Department and team members.
  • Manage confidential information with a high degree of professionalism and discretion.
  • Coordinate meetings, prepare agendas, presentations, and ensure all logistics are in place.
  • Arrange travel, accommodation, itineraries, and logistics for staff, visitors, and expatriates.
  • Support onboarding and offboarding activities in collaboration with the HR team.
  • Process claims, travel expenses, and vendor invoices while liaising with Finance.
  • Manage daily administrative tasks, track deadlines, and follow up on action items across.
  • Maintain and organise documentation in SharePoint and MS Teams.
  • Handle incoming calls, emails, requests, and general enquiries efficiently.
  • Support visa and work permit administration as required.
  • Assist with specialised logistics such as helicopter or crew boat bookings when necessary.

What We Are Looking For

To succeed in this role, you will need:

  • Diploma in Business Administration, Secretarial Studies, or a related discipline
  • At least 5 years of relevant experience in a similar role, preferably within a multinational company
  • Strong communication skills in English and Bahasa Malaysia, both written and spoken
  • Proficiency in Microsoft Office applications
  • Excellent organisational, planning, and multitasking abilities
  • High level of integrity, discretion, and professionalism
  • Ability to work independently while supporting a team environment
