Aktivitäten

The HR Documentation Specialist plays a key role in our digital transformation initiatives. This position focuses on managing the archival of paper Form I-9s into the LawLogix system, ensuring our employment eligibility records are securely stored in the same location and readily accessible for audits and compliance reviews.


Key Responsibilities Include:

  • Archive Form I-9 Documents: Upload scanned copies of paper Form I-9s into LawLogix (Equifax) as archival records, ensuring each form is properly labeled, indexed, and linked to the correct employee profile.
  • Monitor I-9 Compliance: Review electronic and archival I-9 records for accuracy and completeness. Identify and escalate any issues flagged by LawLogix to the local HR team for prompt resolution.
  • Maintain Employee Data Integrity: Verify that employee profiles in LawLogix include their employee numbers, actual employment status (active or terminated), and accurate location and affiliate assignments. Make the necessary updates to ensure data consistency.
  • Ensure Confidentiality and Security: Handle sensitive employee information in strict accordance with data protection policies and confidentiality standards.
  • Track and Report Progress: Monitor the status of archival uploads and employee file reviews and provide regular updates to ensure timely completion of project goals.


Profil der Bewerberin/des Bewerbers

Education/Experience:

  • Associate’s or bachelor’s degree in HR, Business Administration, or related field preferred or equivalent experience required.
  • 2+ years of experience in HR administration, document management, or compliance support.


Skills:

  • Familiarity with Form I-9 requirements and employment eligibility verification processes.
  • Experience using LawLogix or similar HR compliance/documentation systems strongly preferred.
  • Proficient in Microsoft Excel, including the ability to create and manage spreadsheets, use formulas, and perform basic data analysis. 
  • Strong attention to detail, organizational and communication skills.
  • Ability to handle confidential information with discretion and integrity.
