The Executive Assistant to the 2SVPs and the VP will be expected to maintain the highest level of professionalism and confidentiality. The position demands excellent organizational skills, attention to details, and the ability to anticipate, be flexible, autonomous, and work under pressure to meet challenging deadlines. 

The successful candidate will be a proactive problem solver with strong communication skills and the ability to work collaboratively with colleagues across different departments. 

We are looking for an Executive Assistant to join our team based in Geneva, who will report directly to the SVP Trading Gas, and provide support at executive levels for the TotalEnergies Gas and Power (TGP) branch of TotalEnergies.

What you will do

The Executive Assistant will report directly to the SVP Trading Gas and provide support at executive levels for the Trading Gas & Power branch of TotalEnergies.

The missions would typically include the following:

• Coordinating with Top Management Executive Assistants in Paris (ComEx, CoPerf, CD GRP, Business Reviews, …).
• Managing complex agendas and numerous emails.
• Organising business travels, including flights’, hotels’, car rentals’ bookings, arranging all relevant authorisation documents, visas as well as controlling, preparing, and submitting expense reports.
• Organising Management meetings, drafting meetings’ agendas and setting up all necessary equipments.
• Organising corporate events and seminars (budget, call for tenders, …) and participating when required.
• Coordinating events and meetings with the pool of Departmental Assistants.
• Recruiting and managing the pool of TGP Departmental Assistants.
• Completing any ad hoc tasks, as and when directed.

• You have at least 6 years of experience as an Executive Assistant in a similar environment.
• You have strong interpersonal skills face to face, over the telephone, and in written communication.
• You have and outstanding sense of prioritization and ability to synthesize.
• You have a flexible, adaptable, and organized approach.
• You are autonomous and comfortable working under.
• You pay attention to details and are accurate in your communication and when performing your duties.
• You have excellent skills in Microsoft Word, Excel, PowerPoint, and Internet Explorer.
• Excellent French and English language skills are mandatory.
